Account Transfer Policy

This Account Transfer Policy governs the procedures and restrictions applicable to transferring or ejecting an Aesthetix CRM sub-account. This policy supplements and is subject to the Terms of Service at https://aesthetixcrm.com/terms, including Section 4A (Snapshot Assets and Provider IP), Section 13 (Data Ownership, Export, and Deletion), and Section 14 (Account Transfer and Ejection).
1. Account Ownership and Non-Transferability
Each Aesthetix CRM account is personal to the account holder and is licensed, not sold. Account holders are prohibited from transferring, assigning, selling, or otherwise disposing of their accounts to other persons or entities without the express written consent of Aesthetix CRM. Accounts cannot be transferred to another Aesthetix CRM customer, another GoHighLevel agency, or any third party without following the mandatory procedures described in this policy.
2. Client Data Ownership and Export
You retain complete ownership of all Client Data as defined in the Terms of Service (Section 13A), including contact records, opportunity and pipeline records, communications history, custom field values, campaign performance data, and uploaded files. You may export all Client Data in supported machine-readable formats (CSV and JSON) at any time during the active subscription period and throughout the 90-day transition period following termination.
Client Data is portable. You may export and take your data with you at any time, regardless of whether you transfer your account or simply cancel.
3. Provider Intellectual Property (Snapshot Assets)
All pre-built system configurations deployed to your account via Aesthetix CRM’s proprietary Snapshot technology (“Snapshot Assets”) are and remain the exclusive intellectual property of Aesthetix CRM LLC. Snapshot Assets include, without limitation:
- Workflows and automations
- Triggers and sequences
- Funnels and landing pages
- Forms and surveys
- Email and SMS templates
- Campaign structures
- Pipeline configurations
- Calendar booking configurations
- Membership site frameworks
- Any other operational or strategic assets loaded from a Provider Snapshot
Key distinction: Any configuration deployed from a Provider Snapshot — whether or not subsequently modified by you — is classified as a Snapshot Asset and treated as Provider IP. Configurations independently built by you from scratch within the Platform (without use of or derivation from a Provider Snapshot) are your property and are treated as Client Data.
You shall not copy, reproduce, reverse-engineer, export, migrate, replicate, screenshot for purposes of replication, or otherwise appropriate any Snapshot Assets or Provider IP without Aesthetix CRM’s prior written consent. Unauthorized use, duplication, or migration of Provider IP constitutes a material breach and may result in legal action including recovery of direct damages, consequential damages, lost profits, and reasonable attorneys’ fees.
4. Account Transfer and Ejection Procedures
If you request transfer of your account to another agency or sub-account provider operating on the GoHighLevel platform (or any successor platform), the following mandatory procedures apply:
Step 1: Snapshot Asset Inventory
Upon request, Aesthetix CRM will provide you with a written inventory of all Snapshot Assets present in your account. This inventory allows you to identify which configurations are Client-owned (built from scratch by you) and which are Provider IP (deployed from Snapshots). You may independently recreate Client-owned configurations on your new platform or have your new provider build them from scratch.
Step 2: Snapshot Asset Removal
Prior to any account transfer or ejection, all Snapshot Assets must be permanently deleted from your sub-account. Aesthetix CRM will execute the removal of all Snapshot Assets. You shall not transfer, copy, screenshot, export, or otherwise preserve any Snapshot Assets in advance of or during the transfer process.
Step 3: Data Export
Before ejection, you should export all Client Data using the Platform’s self-service export tools (CSV and JSON). Aesthetix CRM recommends completing your data export before the ejection process begins, as some data access may change after the account is ejected from our agency. If you need assistance with data export, dedicated technical support is available at $200/hour.
Step 4: Account Ejection
The account transfer shall be executed exclusively through the GoHighLevel platform’s native account ejection process. Your sub-account is ejected from Aesthetix CRM’s agency account and simultaneously transferred into a new, separate agency account created as part of the ejection process. Direct transfer of a sub-account from Aesthetix CRM’s agency to another existing agency account — without ejection to a clean, new agency account — is prohibited.
Step 5: Post-Ejection
Following Snapshot Asset deletion and account ejection: (i) certain Platform functionality previously powered by Snapshot Assets may cease to operate; (ii) Aesthetix CRM has no obligation to restore, recreate, or replace any functionality derived from Snapshot Assets; (iii) your Client Data (contacts, communications, custom fields, etc.) remains intact in the ejected account; and (iv) you will need to work with your new agency provider to configure replacement workflows, automations, and templates.
5. What Transfers and What Doesn’t
Transfers With Your Account (Client Data):
- Contact records and associated information
- Opportunity and pipeline records (data, not pipeline structure if Snapshot-deployed)
- Communications history (call logs, SMS/MMS, email, chat transcripts)
- Custom field values and data entered by you
- Campaign performance data and audience lists
- Uploaded files, documents, images, and media
- Form submission data
- Appointment and calendar data
Does NOT Transfer (Provider IP / Snapshot Assets):
- Snapshot-deployed workflows and automations
- Snapshot-deployed email and SMS templates
- Snapshot-deployed funnels and landing pages
- Snapshot-deployed pipeline configurations
- Snapshot-deployed forms and surveys
- Snapshot-deployed calendar booking configurations
- Snapshot-deployed campaign structures
- Any configuration derived from or modified from a Snapshot
6. Location Transfers (Multi-Location Accounts)
Moving a location between accounts requires full re-onboarding ($450 fee). Location data and configurations cannot be exported or transferred to non-Aesthetix CRM systems (except Client Data as defined above). For multi-location customers on annual plans, location transfers do not reduce tier commitments or monthly payment obligations during the annual term.
7. Consequences of Unauthorized Transfer
Any unauthorized attempt to transfer an account or its associated Snapshot Assets — including screenshotting, copying, reverse-engineering, or migrating Provider IP to another platform — may result in:
- Immediate termination of your account
- Legal action for breach of contract and intellectual property infringement
- Recovery of direct damages, consequential damages, lost profits, and reasonable attorneys’ fees
- Injunctive relief to prevent further unauthorized use of Provider IP
8. How to Request an Account Transfer
To initiate an account transfer:
- Submit a written transfer request to support@aesthetixcrm.com
- Aesthetix CRM will provide your Snapshot Asset inventory within 5 business days
- Complete your Client Data export using self-service tools
- Aesthetix CRM will execute Snapshot Asset removal and account ejection
- Your sub-account will be ejected into a new, clean agency account
The ejection process is typically completed within 5-10 business days of Snapshot Asset removal. During this period, your account remains active and accessible.
